How we work
From a first note to the trailhead
Four steps, no payment to start, and every number written down before you commit.
You tell us roughly what you want
Dates or a month, who is travelling, how high you are happy to sleep and anything you must not miss. The plan form takes about two minutes; a WhatsApp message or email works too.
A planner sends a first plan within one working day
Day by day, with the place and sleeping height of every night, the transport for each leg, the stays we suggest and an itemised price in US dollars per person.
We change it until it fits
Add a rest day, swap a flight for a road, move the trip to catch a festival. Each version comes with a new price, so you always see what a change costs.
You book with a deposit
Only when you are ready. We confirm flights, permits, guides and stays in writing, then send a final briefing before you land. Payment terms are set out in our payments policy.
What is in a quote
Every line, written down
Guides and porters
Government-licensed guides, and porters where the route needs them, with their wages, food, lodging and insurance on separate lines.
Permits and fees
National park, conservation area, municipality and restricted-area permits at the rate in force when we quote. Rules change; check current status before you travel.
Stays and transport
The hotels, lodges and teahouses we name, private vehicles, domestic flights and the weather buffer days for mountain flights.
Questions about working with us
What does Book Nepal Trip do?
We plan private trips, treks and tours in Nepal only, across nine regions from the Kathmandu Valley to the Far West. Each trip is built for one party, with licensed guides, the stays we name and transport that suits the route: private car, domestic flight, jeep or your own two feet.
Are your prices fixed?
No. Prices on the site are indicative 'from' prices in US dollars per person, twin sharing, with a licensed guide and the stays named. The final price depends on dates, group size, flights and permits. We send a written quote with every line itemised before you pay anything.
Can you change a trip on the site?
Yes, and most travellers do. The trips on the site are starting points that show what works on the ground. We add rest days, swap a trek for a jeep road, combine regions and send a new day-by-day plan with the sleeping height of every night.
Do I need a guide to trek in Nepal?
Since April 2023 the Nepal Tourism Board has required foreign trekkers in national parks and conservation areas to trek with a licensed guide. The Khumbu municipality runs its own permit system and enforcement has varied. Restricted areas such as Upper Mustang and Manaslu always need a registered agency and guide. Check current status before you travel.
When is the best time to visit Nepal?
For mountain views and trekking, October to mid-December and March to May. October and November bring the clearest air after the monsoon; spring brings rhododendrons and warmer high camps. The Terai parks are best from February to April. The monsoon, June to September, suits Upper Mustang, Dolpo and Limi, which sit in the rain shadow.
Who will we deal with?
One planner handles your trip from the first message to the last transfer and is reachable on WhatsApp while you travel. On the ground, your guide carries a government licence and we brief them on your plan, pace and any health notes before you arrive.
